Powered by Hubble&#8217;s extensive market data for <a href="https://hubblehq.com/office-space-london" target="_blank" rel="noreferrer noopener">available private offices</a>, our full-time and part-time office calculators estimates how much you&#8217;ll need to spend on your office according to the expected price per desk in your area.



Our calculators are based on two simple questions:



<h4 class="wp-block-heading">1) How many desks will you need?</h4>



This question asks for information about the number of workstations or desks your company requires, allowing us to understand the space requirements for your office.



<h4 class="wp-block-heading">2) Which location did you have in mind?</h4>



We&#8217;ll ask about the specific geographical location or address that you are considering. It helps narrow options or understand preferences related to an office&#8217;s physical location.



<h2 class="wp-block-heading">How do I calculate how many desks I need?</h2>



Knowing the number of desks you&#8217;ll require in your new office is dependant upon your workspace strategy, but ultimately comes down to the maximum capacity you&#8217;ll need on any given day. 



For companies that are 5 days a week in the office, this calculation is relatively simple, but hybrid- or employee preference-based strategies require more thought. Key factors include:

<li>Whether you mandate your team in for office days or have full employee preference – the latter poses the greatest challenge for calculating capacity, as it&#8217;s likely to vary a lot day-to-day. First, we looked at our existing office usage to help us establish interesting trends or patterns. We then asked our team to:

<h2 class="wp-block-heading">Business leaders favour in-person working</h2>



Most companies recognise the value of in-person working. 44% of fully remote companies agree that some degree of in-person working is important for maintaining company culture, closely followed by 43% of fully office-based companies and 38% of hybrid companies.



So, while remote working benefitted us during the pandemic, it&#8217;s clear that business leaders are actively finding ways to have their team meet face-to-face — regardless of whether they&#8217;ve got an <a rel="noreferrer noopener" href="https://hubblehq.com/office-space-london" target="_blank">office</a> or not. 



This could be to strengthen team bonds and get specific tasks done. For example, business leaders value in-person work for its ability to improve culture (40%)&nbsp;and collaboration (32%).&nbsp;



And of these leaders, CEOs are more likely to want their employees back into offices. This could be because they&#8217;re aware of the costs involved with having a full-time office, and they want to ensure they&#8217;re <a rel="noreferrer noopener" href="https://hubblehq.com/blog/expert-look-reduce-office-cost" target="_blank">getting their money&#8217;s worth</a>. 



<h2 class="wp-block-heading">But what about office mandates? </h2>



We all know office mandates have stirred up controversy over the past few years. You only need to remember the <a rel="noreferrer noopener" href="https://hubblehq.com/blog/famous-companies-workplace-strategies#apple" target="_blank">open letters and petitions</a> Apple employees addressed to Tim Cook in 2022 to get an idea. 



So, when we asked our 200+ business leaders their thoughts on office mandates, we got some interesting stats. 68% said they&#8217;d be shifting strategies over the next year — and of those leaders ordering employees back into offices, 31% said they&#8217;d opt for a 2-day per week strategy. 



This was followed by 3-days per week (16%), 4-days per week (15%) and full-time mandates (9%). 



And if we break this down further, we can see the types of work business leaders want their employees to be together for. 36% of remote companies said they require in-person attendance for activities like departmental meetings, compared to only 17% of hybrid companies.

A <a href="https://hubblehq.com/guides/serviced-offices">serviced</a> office, as with serviced apartments, is a workspace that can be rented on a flexible, short-term basis and offers inbuilt facilities such as clerical support, reception staff and WiFi. A tenant pays an all-in cost per desk each month and will typically sign for a term of 1-12 months. The office space is fitted out and designed to the specification of the provider, enabling a tenant to simply turn up and start working. 



A <a href="https://hubblehq.com/guides/managed-offices">managed office</a> is similar to a serviced office, in that both provide flexible space that is operated by a separate party. However, the key difference with this type of office is that a managed office requires greater input from the tenant, with the space itself a blank canvas that needs to be filled. A tenant must define their exact requirements, from the number of desks, chairs and meeting rooms to floor finishes, so that the provider can deliver exactly what is needed – effectively making a&nbsp;managed office a custom-built workspace.&nbsp;A tenant is normally required to commit to term of 12 months but rather than pay per desk, a tenant pays for the amount of space they occupy.

<li>Simpler accounting &#8211; As with a serviced arrangement, a managed office presents the perk of one, all-inclusive invoice each month – offering smaller businesses greater control of their cash flow.</li>



<li>Flexible deposits &amp; lower set-up costs &#8211; Sourcing a short or long-term conventional lease can be very cash flow intensive, given that some landlords request the equivalent of 12 months’ rent in advance for a deposit, aside from of the capital expenditure required to fit out an office. Rather than being defined by the number of desks you can fit into the space, you get allocated an office which is determined by the overall square footage of the unit, which is then delivered and built according to the exact specification by the you, the tenant.



<h3 class="wp-block-heading">What are the benefits of a managed offices?</h3>



The benefits of managed offices are similar to those of serviced offices, as you get an all-inclusive, flexible contract where all of your outgoings are paid in one invoice at the end of each month – rather than quarterly in advance, which is how a lease works. In addition, with managed offices the professional fees tend to be covered by the operator as opposed to the tenant, and there’s much more flexibility when it comes to deposits.



Finally, of course, being a managed office, the space is tailor-made to your company&#8217;s specifications, which then helps you establish your brand as well as your internal culture.



<h3 class="wp-block-heading">What are the disadvantages of a managed office?</h3>



Like with all good things, there are disadvantages to managed office solutions – the main one being that they can be expensive, as you pay a premium for their bespoke nature. This is because an operator will come in and fit out the space for your company alone, and you have exclusive occupation of the space. The cost of the fit out is then wrapped up into the all-inclusive monthly rent and then amortised across the length of the contract.

Managed offices typically suit companies who are looking for a flexible office setup that isn&#8217;t a&nbsp;classic serviced office, but who can’t (or don&#8217;t want to) take on the up-front costs required by a <a href="https://hubblehq.com/private-offices">private office</a> lease. A managed office is that perfect in between stage.



They particularly suit really high growth companies, or even larger businesses who are looking for space for their project teams.
